Booking Terms & Conditions

These master terms work together with your accepted quote, itinerary, order summary and journey-specific cancellation schedule to form the contract for a private journey.

Read the complete booking package before paying

Your checkout must show the contracting legal entity, exact services, travellers, dates, total price, amount due now, later payment dates and cancellation policy. Your agreement is recorded only through an unchecked acceptance control next to those documents. Do not pay if any required detail is missing.

Your booking contract

These Booking Terms & Conditions (the “Booking Terms”) govern a purchase of travel planning, coordination or travel services offered under the ChinaHue brand. “You” means the lead traveller or booking contact who accepts the booking. “We,” “us” and “ChinaHue” mean the legal entity named as the contracting party and merchant in your final quote, checkout and Booking Confirmation.

A public itinerary or preliminary proposal is not a booking. Your contract consists of the documents made available before you authorize payment: the final quote and order summary, confirmed itinerary and service descriptions, journey-specific cancellation policy, these Booking Terms, and any clearly identified rider or disclosed supplier term (together, the “Booking Package”). Any incorporated supplier term must be provided as a retainable, dated or versioned copy; a link that can change later is not enough.

The Booking Confirmation must reproduce the booking-specific facts you accepted, including dates, travellers, inclusions, price, governing terms and cancellation schedule. It does not add or replace a material term after payment. A journey-specific term controls over a general term only for the subject it clearly addresses. Mandatory law always controls.

How a booking is formed

Except where applicable law treats our complete final quote as the offer, you make an offer to book when you review the Booking Package, check the required agreement boxes and select the payment button showing the amount due. Your click is your electronic signature and authorization to submit that payment. We accept that offer only when we send a Booking Confirmation. A payment authorization, pending card entry or automated receipt alone is not acceptance.

If we cannot accept the booking, we will release or return funds received. We may refuse an attempted booking for genuine availability, sanctions, fraud-prevention, safety or legal-compliance reasons, but not for an unlawful discriminatory reason.

Save the Booking Package before payment. We will send or make available a retainable copy after acceptance. If the Confirmation differs materially from the frozen package you accepted, the change does not bind you without a new affirmative acceptance; otherwise we will release the authorization or refund the affected payment.

Lead traveller and group authority

The lead traveller must be at least 18 and is responsible for communications and payments for the booking. By booking for others, you confirm that you are authorized to provide their booking information, receive notices affecting them and agree to commercial travel terms on their behalf. You must give every traveller the itinerary, applicable supplier rules, cancellation terms and Privacy Policy.

An adult traveller may need to accept a separate risk, medical, image-use or activity-specific document personally. A parent or legal guardian must approve a minor’s participation and any required medical or emergency authorization. We will not treat the lead traveller’s general checkout acceptance as a blanket waiver for another person.

Services, our role and suppliers

Your Booking Confirmation identifies what we will provide or arrange and what you must arrange yourself. Depending on the service, the contracting entity may provide travel planning or package services as principal, or arrange a named hotel, carrier, guide, venue or other independent supplier as an agent. The Confirmation must identify that capacity where it affects your rights, payment or recourse.

Named suppliers remain responsible for operating their services and may apply lawful terms disclosed to you before booking, including carrier conditions, baggage rules, check-in deadlines and ticket restrictions. We remain responsible for our own promises, selection and coordination duties to the extent required by the Booking Package and applicable law. Describing a supplier as independent does not remove a non-waivable responsibility.

International transport to and from China is excluded unless the Booking Confirmation expressly includes it. Domestic flights, rail, vehicles, accommodation, meals, admissions, guides and support are included only when listed.

Price, currency, taxes and corrections

Your order summary shows the booking currency, every mandatory and related charge, applicable taxes and fees, the total price and amount due now. If a third-party charge cannot legally or practically be calculated in advance, the summary identifies the charge and gives the method or information needed to calculate it. Your card issuer or bank may separately charge currency-conversion or cross-border fees; those charges are not paid to or controlled by us.

Before a booking is accepted, we may correct a genuine pricing or availability error and ask you to accept a revised quote. After acceptance, we will not increase the price except for a change you request or a government tax or fee that the law permits us to pass through and that was disclosed as variable. If a permitted increase is material, we will offer any cancellation or alternative right required by law.

We will never substitute a higher price silently. A quote expires on the date shown and may be withdrawn before acceptance if inventory is no longer available.

Deposit, balance and payment

The Booking Confirmation states whether you pay in full or pay an initial deposit, the amount and due date of each instalment, and when supplier arrangements begin. Paying a deposit commits you to the booking but does not make the deposit automatically non-refundable; the accepted cancellation schedule determines refund eligibility.

For journeys whose Confirmation says that ticketing and supplier bookings begin only after full payment, we will not begin those commitments earlier without your written approval. Availability may remain subject to reconfirmation until that point, and we will tell you about a material availability change before committing funds.

If a balance is not paid on time, we may give reasonable notice and suspend uncommitted work or cancel the booking under the disclosed cancellation terms. We may not retain more than those terms and applicable law allow. Card details, when online payment is enabled, are entered with the identified payment processor; this website is not intended to receive a full card number or security code directly.

Traveller details, documents and entry rules

You are responsible for supplying accurate legal names, birth dates and other requested details by the stated deadline. Names must match the documents used for travel. Tell us immediately about an error; suppliers may charge a fee or require a new ticket for a later correction.

Each traveller is responsible for obtaining and carrying a passport, visa, permit, consent letter, vaccination evidence and other entry or transit document required for their citizenship, residence, route and circumstances. We may provide general guidance but do not make an immigration decision or guarantee entry. Verify current requirements with the relevant government or consulate.

Use the secure traveller portal for requested identity, health or travel documents. Do not send them through general email, enquiry text or live chat. Our Privacy Policy explains purpose, disclosure, cross-border handling and retention.

Health, accessibility, dietary needs and minors

Before booking, tell us the functional accommodation you need—for example, step-free access, a lower walking distance or avoidance of a named food—without sending a diagnosis, medical record or other unnecessary health detail. If more sensitive information is genuinely needed, we will request the minimum later through a secure task that links the Consumer Health Data Privacy Policy, identifies the purpose and recipients, and obtains any required consent. We cannot promise an accommodation until it is confirmed in writing with the relevant supplier.

You are responsible for obtaining appropriate medical advice for the trip. An emergency may require us or a supplier to seek assistance where reasonably necessary, but a separate authorization will be requested where practical. You are responsible for medical and evacuation costs unless the Booking Package or law says otherwise.

The Confirmation states minimum ages and supervision arrangements. A minor must travel with, or be placed under the documented responsibility of, an authorized adult. School, study-tour and unaccompanied-minor bookings require a separate group or guardian rider before acceptance.

Changes requested by you

Ask for a change through the customer account or the written channel in your Confirmation. A request is not accepted until we confirm availability, price, supplier charges and any deadline in writing. We will obtain your approval before charging an additional amount.

Name substitutions, date moves, route changes and transferred places may be restricted by suppliers. If a requested change cannot be made, the existing booking continues unless you cancel it under the accepted cancellation policy.

Cancellation by you and refunds

Your journey-specific cancellation policy is part of the Booking Package. It identifies the controlling time zone, when a request becomes effective, refund percentages or amounts, and every specifically disclosed non-refundable item. Any supplier deduction must state before payment its fixed amount, maximum amount or objective formula, the event that makes it non-refundable and the records used to verify it. The copy accepted at checkout is stored with the order and is not replaced by a later website update.

A cancellation request is effective when received through the designated authenticated or written channel. The customer portal may show an estimate. The final statement must show the applicable policy tier, eligible payment base, any disclosed supplier amount that has become non-refundable, amounts already refunded and the resulting refund. We will not deduct the same cost twice.

Supplier costs may reduce a refund only under that pre-disclosed amount, cap or objective formula, when the stated commitment event occurred, the cost is genuinely non-recoverable and the deduction is permitted by law. We provide the calculation and supporting category with the cancellation statement; we do not create a new deduction after purchase or deduct the same loss twice. A “no show,” late arrival or voluntary decision not to use a service is treated under the same disclosed rules unless law requires a different result.

A refund is returned to the original payment method within the period required by law, measured from the cancellation, supplier recovery or other objective event identified in the accepted schedule, and otherwise without unreasonable delay. It is not delayed for discretionary “approval.” Bank processing and currency movements can affect when funds appear and the converted amount received.

Changes or cancellation by us

Travel conditions can require a change. We may make a minor change that does not materially reduce the trip and will tell you when practical. If we or a supplier must make a material pre-departure change, we will describe it and offer a reasonable substitute, price adjustment or cancellation option, including any remedy required by law.

If we cancel for a reason within our control and you did not materially breach the contract, we will offer a suitable alternative or refund the amount paid for services not provided, at your choice where required. This does not limit a further mandatory remedy.

Events beyond reasonable control

Events such as severe weather, natural disaster, epidemic, border closure, government action, civil disorder, labour disruption, carrier shutdown or infrastructure failure may make performance unsafe, unlawful or impracticable. The affected party must take reasonable steps to reduce the impact and notify the other.

We may change, pause or cancel affected services. We will account for amounts actually recovered or recoverable from suppliers and offer alternatives or refunds required by the Booking Package and applicable law. We may retain an administration or planning fee only if it was clearly disclosed before booking, reasonably reflects work performed and is lawful. This section does not create a blanket waiver of refunds or consumer rights.

Travel insurance

Unless the Booking Confirmation says insurance is included, insurance is not part of the booking. We strongly recommend coverage from the date of booking for cancellation and interruption, emergency medical care, evacuation, baggage, delay and activities in the itinerary. Review exclusions, pre-existing condition rules and coverage territory. Our recommendation to obtain insurance does not remove a responsibility that law places on us or a supplier.

Safety and conduct

Travellers must follow lawful safety instructions and avoid conduct that materially endangers, harasses or disrupts others. If immediate action is reasonably necessary for safety or law, we or a supplier may refuse or end an affected service. We will consider the circumstances, including disability-related needs, and will not discriminate unlawfully.

A traveller is responsible for direct loss they intentionally cause or cause through negligence, subject to applicable law. Removal from a service does not automatically determine refund rights; the accepted terms and circumstances control.

Problems during travel and complaints

Tell the local contact listed in your Confirmation as soon as reasonably possible about a service problem so there is an opportunity to help or arrange an alternative. In an emergency, contact local emergency services first.

After travel, send a concise written description and supporting records to us promptly. A delay does not remove a claim where the law does not allow that result, but it may make investigation more difficult. We will provide information about an applicable travel regulator or consumer complaint process on request.

Responsibility and limits

We are responsible for performing our own obligations with reasonable care and for liability that applicable law assigns to a tour organizer, travel seller or agent. We are not responsible for loss caused solely by your act, an unrelated third party, or an unavoidable event beyond reasonable control, except to the extent the Booking Package or law provides otherwise.

We do not exclude reasonably foreseeable direct loss caused by our breach. Nothing in these Booking Terms limits liability for death or personal injury, fraud, wilful misconduct, gross negligence, breach of privacy or data-security duties, our own negligence where a limitation is prohibited, a travel seller’s non-waivable duty, or a statutory remedy that cannot be waived. Any other limitation must be clearly stated in the Booking Package, use an identifiable calculation base and be lawful for your location; a payment forwarded to a supplier does not reduce that base to zero.

An international convention or carrier law may limit a supplier’s liability for air, rail, sea or other transport. Where we may rely on the same lawful limitation, we will identify it on request.

Payment questions and chargebacks

Contact us promptly if you do not recognize a charge or believe a refund is overdue. Nothing prevents you from asking your card issuer about rights available under card-network or consumer-credit rules. Knowingly making a false chargeback or using a chargeback to avoid an undisputed contractual amount may be a breach, but a good-faith billing dispute is not.

Privacy, electronic records and notices

We process booking and traveller information under the Privacy Policy. Optional marketing and public image use require separate choices. The electronic-record consent in the Account Terms applies to the Booking Package and transaction notices.

Operational chat is not an approved channel for authorizing a payment, refund, cancellation, traveller substitution or itinerary amendment. Use the authenticated or written process specified in the Booking Confirmation.

Location-specific protections

We will advertise, solicit, quote and offer checkout in a location only after the contracting entity has confirmed it may lawfully perform that activity there. If a U.S. state or Canadian province requires a seller-of-travel registration, licence, bond, trust arrangement, customer-funds protection or statutory disclosure, the required number and wording must appear at the stage required by law and in the Booking Package before payment. A generic promise to comply later is not a substitute.

We do not currently direct marketing to, accept enquiries or issue quotes or bookings for Quebec residents through this English-only service. A Quebec launch requires an equivalent French website, enquiry and support path; French privacy and cookie notices; a French Booking Package and transaction records; the required travel-licence decision and privacy assessments; and a Quebec rider addressing contract formation, cancellation of design services, payment method, governing law, forum and liability. Quebec prepayment must use a credit card unless a verified statutory exception, such as an applicable licensed trust arrangement, permits another method.

Other federal, state or provincial cancellation, disclosure and redress rights continue to apply even if these Booking Terms say something less protective.

Governing law and disputes

The governing law and forum must be displayed in the frozen Booking Package before payment and repeated without change in the Booking Confirmation. That choice does not remove a mandatory consumer protection, regulator, small-claims forum or court that the law of your home jurisdiction makes available. No foreign-law or foreign-forum selection will be offered to a Quebec consumer where prohibited.

These Booking Terms do not require private arbitration and do not waive participation in a class proceeding. If the parties later choose mediation or arbitration for a particular dispute, that agreement must be informed, separate and lawful.

Changes and general terms

The version you accept applies to your booking. We may update future versions but will not retroactively change an accepted Booking Package. A change to an existing booking requires a recorded agreement unless the Booking Package or law expressly permits it.

If a provision is unenforceable, it will be limited only as much as necessary and the rest will remain in effect. A waiver must be clear and applies only to that instance. Headings are for convenience. The Booking Package is the entire agreement about the booking except for a later written amendment accepted by authorized representatives.
